Privacy Policy

1. Overview
This Privacy Policy explains how GOS Enterprises LLC collects, uses, stores, and protects information when you use LedgerPilot Cloud.
2. Information we collect
We may collect account details, email addresses, subscription status, uploaded files, receipts, invoices, bank statement rows, transaction records, mileage records, storage settings, AI scan usage, support messages, custom request details, and usage or technical logs needed to operate the service.
3. Payment information
Payments are processed by Stripe or another payment provider. We do not intend to store full card numbers on our servers. We may store payment status, customer IDs, subscription IDs, and plan information needed to manage billing.
4. Uploaded records and files
Files and business records you upload are used to provide bookkeeping, matching, review, reporting, export, storage, and support features. Depending on your settings, files may be stored in LedgerPilot Storage Vault, Google Drive, Dropbox, or another supported storage option.
5. AI providers
When you run AI analysis, selected record text, images, or files may be sent to LedgerPilot’s configured AI provider to extract, classify, summarize, or organize business information. LedgerPilot manages the standard provider credentials on the server. You remain responsible for reviewing AI-generated results before relying on them. Specifically entitled accounts may be offered an optional custom-provider feature.
6. How we use information
We use information to operate the service, authenticate users, process payments, store files, generate reports, improve workflows, respond to support requests, prevent abuse, and maintain security.
7. Third-party services
We may use trusted third-party providers for hosting, database, storage, payments, email delivery, analytics, error monitoring, OAuth connections, and AI processing. These providers only receive information needed for their role in providing the service.
8. Security
We use reasonable technical and organizational safeguards to protect customer information. No online service can guarantee absolute security, so you should also protect your account credentials and connected third-party accounts.
9. Data retention
We keep information for as long as needed to provide the service, meet legal or business obligations, resolve disputes, prevent abuse, and maintain records. You may contact support to ask about deleting or exporting your information.
10. Your choices
You can manage your account settings, connected storage providers, billing, uploaded records, and use of AI analysis inside the application. You may contact us for account or privacy-related requests.
